  • Guidelines for Exhibition/Promotion at the Canopy

    1. Validity:

    • The permission for exhibition is valid only for the period mentioned in the confirmation letter.
    • Mahindra World City Developers Limited (MWCDL) confirms that the permission given is not transferable/ assignable to a third party.

    2. Venue:

    • The exhibition will be permitted only within the designated area at Mahindra World City.
    • No nails, screws, bolts or any other temporary / permanent fixtures may be driven into any part of the Venue, including floors and walls.
    • MWCDL will not provide any furniture or fixtures or any other material support for the exhibition.
    • Mahindra World City Developers Limited (MWCDL) reserves the right to restrict the number of persons and the type of exhibition during the promotional activity.

    3. Terms of Payment:

    • The commercial terms will be specified in the offer letter.
    • Confirmation for the exhibition shall be given to the applicant only on receiving 25% of total rental as per the offer letter. This token advance should be paid 7 working days prior to the exhibition.
    • An interest free refundable security deposit and the balance payment towards rentals and electricity charges as mentioned in the offer letter need to paid by the applicant 2 working days prior to the exhibition.
    • The payment can be made through cheque/DD drawn in favour of “Mahindra World City Developers Limited” payable at Chennai.

    4. Duration:

    • The exhibition will be allowed only between 9.00 am and 6.00 pm on the dates specified in the Offer letter.

    5. Electricity:

    • The applicant is required to inform their power requirement 5 working days prior to the exhibition.
    • Application has to take caution to ensure safety measures are strictly adhered to while using electricity.
    • The applicant is required to bring their own equipment for the exhibition.
    • MWCDL shall provide the arrangements for power based on the request and charges will be applicable as per the rates mentioned in the offer letter.

    6. Refundable Security Deposit:

    • A refundable security deposit is collected to cover any damages caused by the exhibitor during the exhibition.
    • The applicant is required to bring their own equipment for the exhibition.
    • MWCDL shall evaluate the extent of the damage and the cost for replacement/ repair of the damage. The rectification charges shall be recovered from the security deposit.
    • The applicant is required to bring their own equipment for the exhibition.
    • The balance deposit will be returned to the exhibitor within 2 weeks from the completion of the exhibition. The payment will be made in favour of the applicant as an at par cheque drawn on HDFC Bank.
    • The applicant is required to bring their own equipment for the exhibition.

    7. Terms of Cancellation:

    • The applicant can cancel the exhibition not later than 7 working days before the scheduled date.
    • The applicant is required to bring their own equipment for the exhibition.
    • In case of failure of adherence to the above timelines, MWCDL shall have right to retain the advance.

    8. Postponement of the Exhibition:

    • In case the applicant is interested in postponing the dates, a fresh application needs to be submitted.
    • The token advance will be adjusted provided, the new date falls within 30 working days from the original dates.
    • MWCDL reserves rights to postpone the event with a notice of 72 hours

    9. Obligations of the Applicant

    • The applicant agrees and acknowledges that it is responsible for safeguarding its possessions, materials and property and MWCDL is not responsible for any loss or damage caused to the applicant during the exhibition.
    • The applicant shall keep the premises in good condition and neither causes any damage to the surface, building and amenities nor create any nuisance in the Mahindra World City campus.
    • The applicant shall be responsible and liable for any loss or claims arising out of damages caused to customers of The Canopy, by reason of the works, acts or omissions of the applicant.
    • In case of any damages, MWCDL shall evaluate the damage and the compensation to be paid will be deducted from the security deposit. And if the compensation to be paid exceeds the security deposit, the applicant shall pay the differential amount within 3 working days of intimation from MWCDL.

    10. Advertising/Promotion:

    • Exhibitors cannot canvas or distribute advertising or promotional material in any part of Mahindra World City, except within the permitted vicinity of their own Kiosk.

    11. Specific Conditions:

    • Test drive of vehicles is not allowed within Mahindra World City.
    • Photography & Video coverage need prior permission

    These Terms of Use are governed by the Indian Law. The Hon'ble Courts in Chennai have jurisdiction in relation to any claim or action arising out of, or in connection with, the Terms of Use.
